Trader Information – HFDXARC Radio Rally
We’re really pleased you’re joining us and hope you have a successful and enjoyable day. To help everything run smoothly, please take a moment to read the information below.
Arrival & Passes
On arrival, please report to the main entrance, where you’ll be issued with your passes.
Passes must be clearly visible at all times while on site.
Tables, Chairs & Passes
- Each booking includes one table, two chairs, and two passes.
- If you need additional people at your table, please speak to the Rally Manager or a rally organiser in advance so extra passes can be arranged.
- Please don’t bring extra people without prior approval.
Table Sizes & Layout
- Tables are approximately 6ft x 2.5ft (1829mm x 762mm).
- If our suppliers are unable to provide tables of this size, suitable alternatives will be used.
- For everyone’s safety, please keep all tables and displays within your allocated area and ensure gangways and exits remain clear.
Additional Tables
Please make sure you book enough tables when submitting your booking form.
Unfortunately, we can’t change the floor plan on the day to accommodate extra tables or late bookings.
Electricity
- Electrical supply is limited and allocated on a first-come, first-served
- If you require power, this must be requested on the booking form and paid for in advance.
- Electricity requests cannot be added or changed on the day.
Payment & Cancellations
- Payment must be made as instructed on the booking form.
- A receipt will be issued once your booking form and full payment are received.
- Tables will be allocated once payment has cleared.
- If the rally is cancelled by the organisers, all payments will be refunded as soon as possible.
- Cancellations within seven days of the event are non-refundable.
- Earlier cancellations will be considered at the organisers’ discretion.
Trading Names
If you trade under a different name, please include this on your booking form and ensure it matches the name used to make the payment. This helps us keep our records accurate.
Insurance & Liability
- All traders must carry out their own risk assessment and hold public liability insurance.
- The club’s liability to any trader is limited to the amount paid for the booking.
A Few Final Points
- The rally organisers reserve the right to refuse entry to any person or trader.
- The Chairman, Rally Manager, and organisers of the HFDXARC Radio Rally cannot accept responsibility for transactions between traders and customers.
