Trader Information – HFDXARC Radio Rally
We’re really pleased you’re joining us and hope you have a successful and enjoyable day. To help everything run smoothly, please take a moment to read the information below.
Arrival & Passes

- On arrival, please report to the main entrance, where you will be issued with your passes.
- Passes must be clearly visible at all times while on site.
Tables, Chairs & Passes

- Each booking includes the number of tables requested, along with two chairs and two trader passes.
- If you require additional people at your table, please purchase extra passes as part of your booking.
- Please do not bring additional persons without prior approval from the organisers.
Table Sizes & Layout

- Tables are approximately 6ft x 2.5ft (1829mm x 762mm).
- If our suppliers are unable to provide tables of this size, suitable alternatives will be used.
- For everyone’s safety, please keep all tables and displays within your allocated area and ensure gangways and exits remain clear.
Additional Tables

- Please ensure you book sufficient tables when submitting your booking form.
- Unfortunately, we are unable to amend the floor plan on the day to accommodate additional tables or late bookings.
Electricity
- Electrical supply is available only where pre-booked as part of your trader application.
- All electrical equipment must be safe and suitable for use in a public indoor environment.
- Cables must be routed safely and must not present a trip hazard.
- Electrical supply is limited and allocated on a first-come, first-served
- If you require power, this must be requested on the booking form and paid for in advance.
- Electricity requests cannot be added or changed on the day.
Payment & Cancellations
- Payment must be made as instructed on the booking form.
- A receipt will be issued once your booking form and full payment are received.
- Tables will be allocated once payment has cleared.
- If the rally is cancelled by the organisers, all payments will be refunded as soon as possible.
- Cancellations within seven days of the event are non-refundable.
- Earlier cancellations will be considered at the organisers’ discretion.
Trading Names
If you trade under a different name, please include this on your booking form and ensure it matches the name used to make the payment. This helps us keep our records accurate.
Insurance & Liability
- All traders must carry out their own risk assessment and hold public liability insurance.
- The club’s liability to any trader is limited to the amount paid for the booking.
A Few Final Points
- The rally organisers reserve the right to refuse entry to any person or trader.
- The Chairman, Rally Manager, and organisers of the HFDXARC Radio Rally cannot accept responsibility for transactions between traders and customers.
